In the interest of the security of the data entrusted to us, we have developed
internal procedures and recommendations to prevent unauthorized access to
the data. We monitor their implementation and continuously check their
compliance with relevant legal acts. We ensure technical and organizational
safeguards to protect your personal data in our possession from unauthorized
disclosure, use, alteration, and destruction.

In accordance with Article 13 of Regulation (EU) 2016/679 of the European
Parliament and of the Council of 27 April 2016 on the protection of natural persons
with regard to the processing of personal data and on the free movement of such
data, and repealing Directive 95/46/EC (General Data Protection Regulation, GDPR),
we inform you that:

The controller of personal data processed at the Maritime University of Szczecin is
the Maritime University of Szczecin, hereinafter referred to as “MU”, with its

The scope of personal data processed by MU includes, among others:

  • Identification data,
  • Address data,
  • Education data,
  • Employment data,
  • Contact data,
  • Image.

The scope of personal data processed by MU also includes special categories of
data concerning health status and degree of disability.

Purposes and legal basis for processing personal data: The Maritime University
of Szczecin processes personal data for, among others, the following purposes:

  • Article 6(1)(a) GDPR (consent):
  • Providing data at the request of third parties, e.g., potential employers, for education verification,
  • Sending newsletters and other promotional materials,
  • Using the image of individuals for promotional purposes,
  • Accepting candidates for studies and employment (voluntarily providing data in optional fields);
  • Article 6(1)(b) GDPR (performance of a contract, taking action at the request of the data subject before entering into a contract):
  • Recruitment of job candidates,
  • Concluding and performing contracts and agreements,
  • Registration in the Assistant Hotel, Creative Work House in Świnoujście, and the Student Sailor’s House of MU;
  • Article 6(1)(c) GDPR (compliance with a legal obligation):
  • Accepting candidates for studies,
  • Conducting the education process,
  • Granting scholarships,
  • Employing staff,
  • Maintaining personnel records,
  • Supervising compliance with occupational health and safety rules,
  • Managing the welfare and social affairs of students and staff,
  • Operating the library and information system,
  • Conducting public procurement procedures;
  • Article 6(1)(e) GDPR (legitimate interest of the controller):
  • Monitoring the careers of graduates,
  • Conducting scientific research and development work,
  • Organizing competitions,
  • Organizing public events,
  • Promoting the University.

Example: Some legal provisions under which MU may process personal data
include: the Higher Education and Science Act, the Labor Code, the National Archival

Resources and Archives Act, the Social Insurance System Act, and the Public
Procurement Law.

Data sharing with other recipients:
Recipients of the data include, among others: entities that process personal data on
behalf of MU under relevant data processing agreements, such as IT system and
service providers, postal and courier operators, banks for payment processing, and
potential employers based on the graduate’s consent.

Data transfer outside the European Economic Area (EEA):
Your data will not be transferred to recipients located in countries outside the EEA
(including the European Union, Norway, Liechtenstein, and Iceland). If such a
transfer were to occur, it would only be to the extent permitted by European Union
law. You will be informed of any planned transfer.

Data retention period:
If the basis for processing personal data is:

  • Consent, the data will be processed until the consent is withdrawn,
  • Performance of a contract, the data may be processed as long as necessary to perform the contract, and thereafter for the period specified by law,
  • Compliance with a legal obligation or performance of a task carried out in the public interest, the data retention period is determined by specific legal provisions.

Example:

  • Student personal files are kept in the university archive for 50 years (§ 4(2) of the Regulation of the Minister of Science and Higher Education of 16 September 2016 on the documentation of the course of studies).
  • Employee records are kept for 10 years from the end of the calendar year in which the employment relationship ended, unless other regulations provide for a longer retention period (Article 94(9b) of the Labor Code of 26 June 1974).
  • Personal data related to public procurement procedures are kept for 4 years from the date of completion of the procurement procedure, unless the contract duration exceeds 4 years (Article 97(1) of the Public Procurement Law).

Consent:
If the processing of your personal data is based on Article 6(1)(a) GDPR, i.e., your
consent, you may withdraw such consent at any time without affecting the lawfulness
of processing based on consent before its withdrawal.

Information on the requirement to provide data:
Providing data, e.g., in connection with a legal obligation or for the purpose of
concluding a contract, is required by MU. Failure to provide data will result in the
inability to perform actions. Providing data marked as optional is voluntary.

Information on rights:
You have the right to access your data and the right to rectify, delete, restrict
processing, the right to data portability, the right to object to data processing, and the
right to withdraw consent at any time without giving reasons, without affecting the
lawfulness of processing based on consent before its withdrawal, as specified in
Articles 16-21 GDPR.

You can exercise these rights by submitting a written request to the Data Protection
Officer. Contact details are provided above. To ensure that you are entitled to submit
a request, you may be asked to provide additional information to verify your identity.

Right to lodge a complaint:
You have the right to lodge a complaint with the supervisory authority, which is the
President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw, if you
believe that the processing of your personal data violates GDPR provisions.

Automated decision-making:
Your data will not be used for automated decision-making, including profiling, as
referred to in Article 22 GDPR.

The website does not automatically collect any information, except for the information
contained in cookies.
Cookies are IT data, in particular text files, which are stored on the end device of the
Service User and are intended for using the website pages of the Service. Cookies
usually contain the name of the website from which they originate, the storage time
on the end device, and a unique number.

The entity placing cookies on the end device of the Service User and accessing them

In many cases, the software used for browsing websites (web browser) by default

cookie settings at any time. These settings can be changed in particular to block the
automatic handling of cookies in the web browser settings or to inform about their

The Service operator informs that restrictions on the use of cookies may affect some
of the functionalities available on the Service’s website pages.
